The Crested Butte Wildflower Festival is seeking an Administrative Specialist & Project Coordinator
The Wildflower Festival Administrative Specialist will work with the Executive Director to produce and organize the annual Wildflower Festival. Requires exceptional organizational skills, communication skills, attention to detail, patience, and sense of humor! Administrative/Customer Support
- Communicate with public: answer phone, mail, e-mail, and social media inquiries.
- Assist participants with questions about Festival/pointing them to other appropriate resources if needed
- Learn and utilize our Event Management Software
- Manage Festival’s website updates and postings (WordPress).
- Train Festival Assistants in customer support procedures and boutique management
- Recruit and schedule Festival volunteers
Social Media/Promotions/Publicity
- Post 2x/weekly updates to Facebook, and Instagram
- Create Facebook and Instagram Ads promoting Festival events and merchandise
- Create and schedule Mail Chimp email blasts
- Satisfy sponsor agreements by using logos and promoting them in e-blasts and social media
Membership Management
- Manage CBWF annual membership database and mail/email communications.
- Update and manage master member and general mailing lists. Work with ED to prepare and mail annual member renewal and recruitment letters
- Ensure member letters and benefits are organized and distributed
Merchandising
- Prepare, ship, and track all online poster/merchandise orders
- Select and organize merchandise for our Festival’s Boutique
- Collaborate with t-shirt design artist and printers to obtain t-shirts and hats
- Set up and arrange merchandise and consignment items at Festival
- Organize and manage merchandise sales at summer Farmer Market Booths
- Recruit Gunnison/Crested Butte artists as consignment vendors for the boutique
- Manage check-in/close-out inventory and invoices for consignment vendors
- Complete inventory of merchandise post Festival
Special Projects
- Plan and execute the annual Garden tour
- Assist with planning and execution of the Member Appreciation Party
- Prepare and manage Festival’s online participant waivers
- Organize and promote the annual Photo Contest
- Develop and organize a Wildflower Festival photo library
- Graphic Design/Development of Festival Marketing Materials – depending on interest and experience
Qualifications:
- Bachelor’s degree in related field (or senior status, graduating in 2021)
- Experience managing social media and email communication platforms
- Excellent organizational, written, and verbal communication skills
- Demonstrated ability to manage projects
- Proficiency with MS Word, Excel/Google Sheets, and Dropbox/Google Drive
- Experience with CRM software & WordPress
- Experience with event planning and administration
Availability Requirements:
The CBWF Administrative Specialist position requires a commitment of approximately 920 hours annually, with increased availability needed May-July. Below is an estimated breakdown of monthly/weekly hours.
